New employees are set up in your payroll provider using their tax code, KiwiSaver status and student loan details before their first pay run. When an employee leaves, their final pay is calculated, including any outstanding leave entitlements.

Employers are required to file employment information with IRD each time they pay their employees. We can complete this filing as part of your regular payroll process, so it is one less thing for you to manage.

If IRD has questions about your PAYE, employer returns or payroll deductions, we can liaise with IRD on your behalf and provide supporting records.

If you employ staff, yes. Payday filing requires you to file employment information with IRD each time you pay your employees. This includes details such as gross earnings, PAYE deductions, KiwiSaver contributions and student loan repayments for each pay period. This information must be filed with IRD within two working days of payday. We can manage this filing as part of your regular payroll process.
When an employee takes annual leave, they must be paid the greater of their ordinary weekly pay or average weekly earnings over the previous 52 weeks. The calculation can be more complex where employees have variable hours, regular overtime or commission, so it is important that their individual working arrangements and earnings are taken into account.
Whether someone is treated as an employee or contractor depends on the working nature of the working relationship, not simply what the contract says. In some industries, withholding tax must also be deducted from payments made to contractors. If you’re unsure how someone should be treated, we can help you determine the correct approach and ensure your PAYE obligations are met.
If PAYE has been under-deducted or underpaid, the error may need to be corrected with IRD, and interest or penalties may apply depending on the circumstances.
