Payroll & PAYE management

Payroll management helps ensure your employees are paid correctly and your PAYE obligations are met accurately and on time.

Payroll involves more than calculating wages. Each pay run includes PAYE deductions, KiwiSaver contributions, student loan repayments and holiday pay entitlements, all of which need to be right before the money leaves your account. We can manage this process for you and file your PAYE with IRD each payday, helping take care of ongoing payroll administration.

Managing your payroll and PAYE

Our payroll and PAYE services can be tailored to the level of support your business needs.

Pay run processing

Wages and salaries are calculated and processed weekly, fortnightly or monthly depending on your business. Each pay run is reviewed before funds are transferred to help identify any errors before employees are paid.

PAYE calculation and filing

PAYE is deducted from each employee’s pay, with the required employment information filed with IRD through payday filing. You receive a payment summary each period so you know exactly what to pay IRD and when.

KiwiSaver management

Employee KiwiSaver contributions are deducted at the rate each employee has chosen, and employer contributions are calculated as part of each payrun. We can also manage new enrolments, opt-out requests and contribution rate changes as they come through.

Student loan deductions

Student loan repayments are deducted based on the employee’s tax code and earnings. We keep up with changes to IRD repayment thresholds and include the required information in your payday filing.

Leave management and holiday pay

Annual leave, sick leave, bereavement leave and public holiday entitlements are tracked in line with the Holidays Act 2003, including any holiday pay owing when an employee leaves. We also keep up to date on any changes to leave legislation.

New employees and final pay

New employees are set up in your payroll provider using their tax code, KiwiSaver status and student loan details before their first pay run. When an employee leaves, their final pay is calculated, including any outstanding leave entitlements.

Payday filing

Employers are required to file employment information with IRD each time they pay their employees. We can complete this filing as part of your regular payroll process, so it is one less thing for you to manage.

IRD employer correspondence

If IRD has questions about your PAYE, employer returns or payroll deductions, we can liaise with IRD on your behalf and provide supporting records.

What is payday filing, and do I need to do it?

If you employ staff, yes. Payday filing requires you to file employment information with IRD each time you pay your employees. This includes details such as gross earnings, PAYE deductions, KiwiSaver contributions and student loan repayments for each pay period. This information must be filed with IRD within two working days of payday. We can manage this filing as part of your regular payroll process.

When an employee takes annual leave, they must be paid the greater of their ordinary weekly pay or average weekly earnings over the previous 52 weeks. The calculation can be more complex where employees have variable hours, regular overtime or commission, so it is important that their individual working arrangements and earnings are taken into account.

Whether someone is treated as an employee or contractor depends on the working nature of the working relationship, not simply what the contract says. In some industries, withholding tax must also be deducted from payments made to contractors. If you’re unsure how someone should be treated, we can help you determine the correct approach and ensure your PAYE obligations are met.

If PAYE has been under-deducted or underpaid, the error may need to be corrected with IRD, and interest or penalties may apply depending on the circumstances.
